Job Description: Admin cum Operation Support
1) Assist in daily routine operations eg. arrange courier services, handle phone calls (screening and forwarding incoming calls) and taking messages and enquiries.
2) Handle incoming and outgoing courier documents, faxes and mails and daily collection incoming letters from letter box
3) Provide HR administrative support (such as updating of leave and training record)
4) Support the operational day-to-day activities such as:
* Coordination and booking of meeting rooms.
* Compile data, binding presentation.
* Prepare quotations and purchase order.
* Prepare delivery order, invoice and other relevant documents.
* Liaise on the supplier/customer delivery and stocks inventory / entries.
* Provide administration support to Sales and Operations Department
5) Responsible for purchase of office related supplies (such as stationary, pantry supplies) and food ordering.
6) Maintain and update central filing systems, archive documents and handle document storage for Operationals, Finance and HR department.
7) Assist Finance Department in data entry duties eg posting of invoices in SUS and IQN portals and assist in daily updating cash flows
8) Assist in month end closing by doing request of payment to HQ, such as consultants fees, staff claims, and other expenses claims / analysis
9) Carry any other ad-hoc admin duties and operational support as and when required or assigned by Manager / supervisor.
QUALIFICATIONS
1. Diploma
2. 3 to 5 years’ experience in the related field.
